  • Headcount range, not a number. “Between 40 and 55” is honest and bookable. A single optimistic number is neither.
  • A first-choice date and a backup, both checked against paydays, holidays and the football calendar.

Ask for comfortable capacity in your format, not the maximum. Check whether the group can spread across zones, and whether the space is exclusively yours or shared with the public that night. Exclusivity changes everything from the music to the speeches.

Location and access

Your guests will judge the choice on the commute. Check the nearest BTS stop, the taxi drop-off, and parking. For the Sukhumvit side of town, Ekkamai and Thonglor are the easy middle ground: central enough for everyone, calmer than Asok to load fifty people into taxis at midnight.

Food and drink

Venues run one of three models: in-house catering only, outside food welcome, or a mix. None is wrong, but quotes across different models are not comparable until you add the catering line. Ask how drinks are billed, whether packages exist for groups, and how the venue handles dietary needs before you promise your team anything.

Presentations and AV

If there is a keynote, a demo or an awards deck, confirm the practical details: screen inputs, a microphone, and where people actually stand. Venues built around screens have a head start here; ask whether your branding or slides can go up on them.

Billing and the date

Get the payment schedule in writing: what confirms the date, when the balance is due, and what the quoted number does and does not include. If your finance team needs specific paperwork, raise it in the first email, not the week of the event.
